How to Set Up a New Client in the Conquest Portal

Step-by-Step Guide to Inviting a Client to the Data Gathering Process via the Client Portal

 

The Conquest Client Portal enhances collaboration between advisors and clients through an interactive digital experience. Unlike traditional software where advisors input client data, Conquest allows clients to enter their own information. This streamlines operations, improves accuracy, and gives clients time to gather essential documentation, such as investment portfolios and pension details. Additionally, this approach fosters financial literacy, empowering clients to better understand their financial situation.

Stage 1 - Invitation process

The Advisor Initiates the Client Data Entry Process

Step 1:

  • To add a new client and immediately invite them to the Client Portal, click the +Add New Client button on your home page.

Step 2: 

  • If you want your client to enter their data, select Invite Client to data gathering.

Step 3: 

  • This action will open the Share Settings window, where you can input the client's name and email address under the Client Access tab.
  • Ensure the email address is entered accurately, then click the Invite button to proceed.

Step 4:

  • A Security Question will appear for verification purposes. Create a question and answer that only you and your client will know.

Step 5:

  • After clicking the Send button, the system will send an invitation email to your client via Conquest.
  • The client's name will then appear in your Client Search window, accompanied by the status label Access Pending.

Step 6:

  • After the invitation is sent, you can resend it at any time by selecting the Resend Invite option in the Share Settings menu.
  • If the client forgets their security question or incorrect data has been entered, you can update the security question or revoke the invitation entirely by using the three-dot menu on the right.

Stage 2: The advisor checks to see if data gathering is in progress

Step 1:

  • As the advisor, you can monitor whether your client has begun the data-gathering process.
  • In your Client Search window, the client’s name will display with the status Data In Progress beside it.

Step 2: 

  • Once a client is invited to Data Gathering, they have 10 days to activate their account and complete the process.
  • If the status Access Pending remains beside the client’s name, consider following up to ensure they log in within the 10-day window.
  • If the client does not complete Data Gathering within this period, their access will be locked, and they will receive a message instructing them to contact their advisor.
  • Should this happen, go to your Client List view, click the three-dot menu next to the client’s name, and select Mark Data Gathering as Complete.

Step 4:

  • Next, select Archive Client from the three-dot menu. You will then need to re-invite the client by following the steps outlined in Step 1.
  • The client will be required to repeat the activation process.
Quick Tip: If your client has not received the invitation email, first re-verify their email address for accuracy. Once confirmed, you can use the three-dot menu next to their name to resend the invitation, revoke their access, or remove the client entirely.

Stage 3: The advisor checks to see if data gathering is completed

 
When your client completes entering their data in the Client Portal, you can verify their status in the Client Search window. If the data-gathering process is finished, the status Data Completed will appear next to the client’s name.

At this stage, you can proceed to create a financial plan utilizing the data input provided by your client.
