How do I access and navigate the Optimize Portal?

Follow the steps below to access the Optimize Portal where you can access our Research, Documents, Systems & Technology, and Client Servicing all from one robust Resource Platform. Let’s get started!

 

Step 1. To start, find the email provided by your Onboarding Specialist with your sign-in details. Alternatively, if you're already registered click here for The Optimize Portal.

Step 2. Enter your login credentials that would have been provided in the same email...

Just like that, you’re in!

The Optimize Portal consists of four main sections; Investment Research, Documents, Systems & Technology, and Client Servicing. In our new update you can now access Client Servicing straight from our CRM!

 

 

Let's go through these sections in a bit more detail.

 

1. Investment Research

The Research section is our content hub, that provides you with frequent market commentary and economic outlooks, upcoming scheduled investment conference calls, and research reports from industry leading firms.

 

2. Documents 

In our Documents section, there are 3 drop down tabs you can choose from. Service Documents, Operations, and Performance. 

 

In Service Documents: there’s  access to our Account Documents (includes prep forms). Our Comprehensive Prep Forms,  can be downloaded as a fillable PDFs to be used to gather the necessary information to have your clients Tax Returns or Will and Estate plans prepared by our in-house specialists. You can sort by Show all, LOD, or Prep-form. 

 

In Operations: You can find all the best practice handbooks for each Team. For example, Tax Preparation Best Practices Handbook. Furthermore, you can find Timeline handbooks which allows you to understand how long certain processing may take and a guideline of timeline expectations. 

 

In Performance Reports: In this section PDFs contain the most up-to-date performance reports for our in-house models, our third-party models, and our mandate specific models, as well as any marketing brochures easily sorted so you can get them quickly and easily.  They all can be downloaded directly as a PDF.

 

3. Systems & Technology

This is your go-to spot for accessing your key systems such as Our CRM (HubSpot), Client Online Access (My Portfolio +), Performance Reporting (Croesus), Mortgage Portal, Custodian Portal, and Financial Planning.

 

4. Client Servicing 

Exciting News: Our service request system has undergone major upgrade! We've centralized all functions within the CRM, streamlined forms, and introduced new ticket pipelines to elevate client support. 

As part of our ongoing commitment to delivering a premium level of service to our clients, we have significantly revamped our service request system by centralizing all service request functions within the CRM, enhancing the user interface and functionality of our service request forms, and introducing new ticket pipelines to better support these requests. The update includes a custom built application which moves our service request (Servicing) forms to the middle panel of a client's CRM contact record, and an enhanced user interface on the middle panel of CRM ticket records which ensures all necessary request information is easily accessible and visible to all reps.
