Learn the Basics of Gmail

Learn the key features of Gmail to utilize it to it's full capability

Google Workspace includes productivity apps such as Gmail, Google Sheets, Googles Docs, and Google Calendar that can be leveraged to enhance work processes. This article provides the key features to be used in Gmail.

How To Send An Email

Compose in a Gmail popup:

  1. On your computer, go to Gmail.

  2. At the top left, click Compose to open the email window.

  3. In the "To" field, add the email addresses of your recipients.

  4. You can also add recipients in the Cc and Bcc fields.

  5. In the subject field, type the subject of your email.

  6. Write your message in the text box.

  7. At the bottom of the page, click Send.

Tip: To add individual recipients and groups of contacts you created with labels, click To and select from your contacts

How to CC

"CC" stands for "Carbon Copy" and is used when you want to send a copy of your email to others without them being the primary recipient. This is ideal for keeping others informed without addressing them directly.

To CC someone in Gmail:

  1. On your computer, go to Gmail and click Compose.

  2. In the email composition window, you'll see a field labeled Cc (just below the "To" field).

  3. Enter the email addresses of those you want to add as CC.

  4. Complete your email by adding a subject and writing your message.

  5. Click Send to send the email.

Tip: You can also use the "+ sign" or "@mention" to easily tag contacts within the email text field.

How To Make A Folder

In Gmail, labels are used instead of traditional folders to help organize your emails. These labels only appear in your inbox, not in the recipient’s inbox.

  1. On your computer, go to Gmail
  2. On the left, scroll down, then click More
  3. Click Create new label
  4. Name your label
  5. Click Create

Tip: Labels help you group emails based on categories (like "Work," "Personal," or "Important"). You can apply them manually or set up automatic filters to organize incoming emails.

Inbox Types

Gmail offers several different types of inbox layouts, each designed to help you organize your emails more efficiently:

  1. Default Inbox: The standard inbox layout where Gmail automatically categorizes emails into tabs like Primary, Social, Promotions, Updates, and Forums.

  2. Priority Inbox: Automatically sorts your emails into sections based on importance. This helps ensure that the most critical messages are placed at the top of your inbox.

  3. Multiple Inboxes: Allows you to create several sections within your inbox, each showing emails with specific labels or criteria. This is helpful for users who want to organize their emails more granularly.

  4. Unread First Inbox: Displays unread emails at the top of your inbox so you can easily prioritize messages that require your immediate attention.

By choosing the inbox type that suits your workflow best, you can stay organized and manage your emails more efficiently.
